The questions

Do guests have to use a QR code to check in?

No. Each booking can get a QR code staff scan to see waiver and payment status. Prepared guests move. Exceptions still get a person. Check-in still works when the dock has poor signal, then syncs.

What if every boat comes back at 5pm?

Same-time returns are scheduled on purpose. Guests get a return window in the confirmation. Staff get a sequence they can actually work. The next launch depends on this return not eating turnaround.

How do we prove the scratch was not already there?

Take timestamped, GPS-tagged photos at check-out and check-in. The workflow is part of checkout, not a separate app staff forget. Honest photos also protect the guest from last week's ding.

Can they sign the waiver before they get in line?

Yes. Waivers live in checkout and can be signed on the phone before arrival. Connect Smartwaiver under Account → Integrations if you use that provider. Status is visible at check-in so the fast lane is not a legal conversation.

How do we keep a card for fuel or damage without a fight at return?

Card on file is authorized at booking through Stripe. Later incidental charges follow the terms you published, with a log. Staff confirm condition. They are not cashiers of last resort.

Who decides when weather cancels the day?

You do. The dashboard can show live weather and flag a risky day early. Rex does not play meteorologist-in-chief. Refund and rebooking follow the terms you already set, so staff are not inventing policy in the rain.

How do I check someone in and take the unit back?

For check-in, find the booking, verify the customer, collect any balance due, complete waivers, and click Check In. For return, click Return when the equipment comes back, inspect, then click Complete to finish the booking.

Can I check in some units in a cart and leave the others?

Yes. Open the cart, click Check In, select the bookings to process, complete waivers, collect any balance due, and confirm. A group cart can move in pieces.

Where do special requests live?

Guests can add a note at checkout. Staff can add notes on the booking detail. Read them there so the next shift sees the same request.

Can we check someone in from a phone?

Yes. Tap Check-in from the action bar or open the booking, then follow the five-step wizard: verify the guest, select bookings, safety checks, settle any balance, final details. It is built for a finger, not a desktop.

Do we have to download an app?

No. RecSystems runs in the browser on a phone, tablet, or computer. Open the dashboard URL. A tablet is the comfortable dock screen; a phone is fine for a quick check-in. You can add it to the home screen. Every feature is there; fat reports are easier on a bigger display.

Can I check them in if they still owe a balance?

Usually you collect the remaining balance at check-in, using the card on file or a new card, then release the unit. Full payment is the normal gate. You do not have to pretend the balance vanished.

How do I charge for a scratch after they return?

Add the damage charge on the booking, then charge the card on file. They authorized that when they booked. Document it in the return inspection first.
