The questions
How do I change the dates on a booking?
Find it under Bookings → Your Bookings or Cart Orders, click Modify, change the dates or times, review the price difference, and process any extra charge or refund.
Read changing a booking, then the keep-price question if you are swapping a unit.
What does Reserved actually mean?
RecSystems has 10 booking statuses: pending (in cart), checkout, reserved (paid and confirmed), cancelled, expired (cart timed out), rented (they have the unit), returned, completed, refunded, and maintenance (unit blocked). Status changes through those actions — you do not type a status by hand.
Read booking status, then check-in.
How do I find a guest's past rentals?
Search bookings by email or phone. Each booking shows their details, and the search results are their rental history. There is not a separate CRM page.
Read customer profiles, then booking notes.
Can I import customers without emailing them?
Go to Account → Account Info → Import Data, upload a CSV, review Rex's column mapping, and start the import. Names, emails, and phones come in with the reservation rows. Imported history does not email guests. There is no customer-only CRM dump.
Read importing customers, then switching.
Can I change a booking after they already have the keys?
Yes. A Rented booking can still take a unit swap, an extension, or add-on changes. Staff can swap until the rental window ends. After that, only an admin can swap.
Read changing a booking, then swap after the window.
Can I still swap the unit after the rental time ended?
Only an admin. Staff see: This booking has ended. Only an admin can swap the unit after the rental window.
Read changing a booking, then why Swap is grey.
How do I see who changed the price and why?
Open the cart, expand Override History on the Booking Strategy card. Each change logs the staff email, time, reason, and before/after.
Read booking strategy, then the phone quote.
