Importing Customer Data - Bring History With You

Go to Account → Account Info → Import Data, upload your CSV, review Rex's column mapping, and start the import. Customer names, emails, and phones import with the bookings. Imported history does not email customers.

RecSystems does not keep a separate CRM database of people. Customer name, email, and phone live on the booking. When you migrate, you import bookings, and the customers ride along.

If you only have a list of emails with no reservations, you do not need to import them. They will be captured the next time they check out.

When to use the Import Wizard

  • Switching from FareHarbor, Checkfront, Peek, Recreogo, or a spreadsheet
  • Bringing historical reservations so Saturday search still finds last year's guests
  • Consolidating more than one CSV (bookings + a customer export that shares emails)

Inventory-only spreadsheets belong on Bulk Import Inventory, not here.

Before you start

  1. Export CSV from the old system (not a locked .xlsx)
  2. You need Owner or Admin access
  3. Budget 10–15 minutes for mapping, longer for thousands of rows

File limits: up to 10 files, 50 MB each, 200 MB total.

Step by step

  1. Go to Account → Account Info → Import Data
  2. Drop your CSV files on the upload area
  3. Wait while Rex reads columns and suggests mappings
  4. Check the mapping table. Green dots are high confidence. Fix yellow or gray yourself
  5. Match old unit names to your fleet (accept, remap, create new, or skip)
  6. Click Start Import

Rex emails you when the job finishes. You can leave the page.

Typical timing: under 500 bookings in 1–2 minutes; a few thousand can take 10–30 minutes.

After import, find a person the same way you always will: search bookings by name, email, or phone. See Customer Profiles.

No surprise emails

Imported bookings do not send confirmation, reminder, or receipt emails. New bookings created after the import send email normally.

If you are still setting up and must import again, keep this rule in mind: the wizard is for history, not a marketing blast.

If rows are skipped

Rex flags rows that cannot map (missing dates, blank emails, units you skipped). Download or read the skip list, fix the CSV, and import the leftover rows. Do not re-import the whole file unless you have confirmed with support — duplicates are worse than a second pass of the misses.

Undo

Within 30 days, email wecare@recsystems.com and we can reverse an import. After 30 days, cleanup is manual.

Saturday test

You should be able to search last year's renter by email and see their old booking on the dock laptop. If that search is empty, the CSV never had that email, or those rows were skipped — not a hidden customer module.
